- Update client information in systems and follow up on service items.
- Participate in appointment review meetings and manage CRM.
- Develop and maintain operational systems/checklists.
- Monitor account notifications and process paperwork.
- Manage office checks and referrals, including marketing campaigns.
- Maintain website/social media and client correspondence files.
- Delegate tasks, train new members, and conduct check-ins.
- Conduct performance reviews and identify process improvements.
- Ensure compliance documentation and advertising approval.
- Attend events to provide superior client service.
Qualifications
Required
- 3+ years leading teams
- Financial Services background preferred
- Motivational leader with proactive client service focus
- Exceptional organization, time management, and attention to detail
- Thrives in high-pressure environments with multiple tasks and tight deadlines
- Proficient in Microsoft Office suite and contact management databases; RedTail CRM proficiency desirable
- Strong phone and email communication abilities

Some Responsibilities of an Operations Manager:
+ Manage new client onboarding, financial planning workflow, and account opening.

Requirements
+ 5+ years of experience in operations at a wealth management firm - no exceptions
+ MUST be able to commute to the San Mateo office 5x a week - no exceptions
+ MUST understand the ins and outs of a Wealth Management Firm and have experience dealing with HNWI.
+ Motivational leader with proactive client service focus
+ Exceptional organization, time management, and attention to detail
+ Thrives in high-pressure environments with multiple tasks and tight deadlines
+ Proficient in Microsoft Office suite and contact management databases; RedTail CRM proficiency desirable
