  • Participates and/or manages special projects as assigned

Qualifications

Required

  • 2+ years of management-executive assistance experience with significant escalation in responsibility over time
  • Possession of at least a post-secondary degree or a Master’s in Business Administration
  • Demonstrated aptitude for problem-solving
  • Knowledge of accounting principles, documentation skills, research and resolution skills, data analysis and multi-tasking skills
  • Knowledge of applicable accounts payable/general ledger systems and procedures, financial chart of accounts and corporate procedures
  • Results-oriented
  • Able to work both independently and within a team environment
  • Excellent verbal and written communication skills
  • Proficiency in using Microsoft Office Suite applications and contact management software
  • Ability to travel domestically
  • Ability to operate a motor vehicle and maintain a valid state motor vehicle driver’s license
  • Ability to maintain an acceptable motor vehicle driving record
  • Ability to occasionally work evenings and weekends

GENERAL SUMMARY OF POSITION:


The Office Manager is responsible for the processes and systems related to the servicing of customers and support of staff. The Office Manager is responsible for ensuring excellent customer service, providing executive support to the President, responsible for performing internal accounting and HR functions.


CORE AND ESSENTIAL FUNCTIONS:


  • Administers the procedures and systems for office personnel, including filing, billing, accounts payable and accounts receivable
  • Processes and invoices customer orders
  • Manages the shipping and delivery of products
  • Procures packing, shipping and other materials
  • Maintains office efficiency by planning and implementing office systems and layouts
  • Ensures positive employee and client customer service through active communication and problem-solving efforts
  • Manages the front office area to ensure effective communication both internally and externally to maintain professional image.
  • Supervises and coordinates overall administrative activities for the customer service department to ensure all customer interactions are handled appropriately
  • Responsible for providing executive support to the President, Vice President and Operations Manager
  • Serve as backup for office personnel as needed
  • Establish team atmosphere through leadership and employee development
  • Continue education in management, organization and team-building skills
  • Participate and/or manage special projects as assigned
  • Other duties as assigned


QUALIFICATIONS:


Must possess 2+ years of management-executive assistance experience with significant escalation in responsibility overtime. Possession of at least a post-secondary degree or a Master’s in Business Administration is preferred. Demonstrated aptitude for problem-solving, accounting principles knowledge, documentation skills, research and resolution skills, data analysis and multi-tasking skills are essential. Must possess knowledge of applicable accounts payable/general ledger systems and procedures, financial chart of accounts and corporate procedures. Must be results-oriented and able to work both independently and within a team environment. Must possess excellent verbal and written communication skills. Proficiency in using Microsoft Office Suite applications and contact management software; past ERP experience a plus. Ability to manage and successfully work under tight time constraints. Must have the ability to travel domestically, so the ability to travel by plane, operate a motor vehicle, maintain a valid state motor vehicle driver’s license, and maintain an acceptable motor vehicle driving record are required. Ability to occasionally work evenings and weekends may be required.
