The Senior Grants and Contracts Analyst at Johns Hopkins University will coordinate administrative and financial activities related to sponsored projects within the Department of Radiology.   • Coordinate the award and contract closeout process.
  • Participate in training for newly hired team members and assist with ad hoc projects.
  • Provide instruction and support related to grant application procedures.
  • Manage all assigned grant submissions to ensure timeliness and accuracy.
  • Create FIBI records as required.
  • Review budgets and related justification for appropriateness and completeness.
  • Partner with the research ORA office toward the planning and development of application submissions.
  • Manage post-award processes, including award SAP setup and account verification.
  • Ensure compliance in all areas related to grant and contract management.
  • Serve as liaison between the central offices and PIs.

Qualifications

Required

  • Bachelor's Degree in Business, Finance, or related field.
  • Five years of grants administrative/budgeting experience, preferably in an academic or medical setting.

Preferred

  • Knowledge of accounting and budgeting theory and practices.
  • General knowledge and understanding of The Johns Hopkins University accounting system and related fiscal offices.
  • Proficiency in Microsoft Office: Excel, Word and PowerPoint
  • General knowledge and understanding of The Johns Hopkins University grant and financial management systems including SAP, SWiFT, Coeus, Payment Works, Service Now.
  • Ability to make independent judgments and to act on decisions on a daily basis.
  • Ability to work with flexibility on several tasks simultaneously and to meet various concurrent deadlines.

Full Job Description

We are seeking a **_Sr. Grants and Contracts Analyst_** who will coordinate administrative and financial activities related to sponsored projects in the Department of Radiology. They will be responsible for managing pre-award and post-award functions for numerous subdivisions within Radiology. Their responsibilities will include but may not be limited to: application submissions in ASSIST, budget development, sponsored account maintenance and oversight, FFRs, F/RPPRs, effort reporting, compliance, and closeout. The Sr. GC Analyst will work independently and support the Principal Investigators (PI) and other faculty for their assigned divisions and will report directly to the Grants and Contracts Manager.

**Specific Duties & Responsibilities**

+ Support a large number of PIs and manage complex grants portfolio for numerous subdivisions.

+ Ensure compliance in all related to grant and contract management, including federal regulations, sponsoring organization guidelines, award terms and conditions, institutional, departmental, and divisional policies, internal protocols, accurate protocol information within grant documents, conflicts of interest, etc.

+ Maintain ongoing updates and communications monthly with their respective assigned PIs on the financial status of all their sponsored activity. Provide financial information by preparing monthly financial reports and salary projections.

+ Ensure that all post-award responsibilities are completed, including budget distribution, account reconciliation, e-forms, cost transfers, and paying invoices. This includes regular auditing and reporting to principal investigators and departmental/divisional leadership.

+ Monthly review of salary allocations for all assigned personnel to ensure effort is accurately allocated.

+ Subrecipient monitoring, ensure SWIFT record paperwork is completed timely.

+ Coordinate the award and contract closeout process, including working with Research Compliance and Sponsored Projects Shared Services to ensure the Financial Status Reports (FSR), Annual and Final Progress Reports (RPPR) are completed accurately and timely.

+ Responsible for participating in training for newly hired team members and assist with ad hoc projects.

_Pre-Award Responsibilities_

+ Provide instruction, preparation assistance and support related to grant application procedures.

+ Understand and utilize institutional policies for pre-award grant process and sponsor guidelines.

+ Manage all assigned grant submissions to ensure timeliness and accuracy.

+ Create FIBI records as required.

+ Review budgets and related justification for appropriateness and completeness of content.

+ Provide groundwork for subcontract negotiations.

+ Responsible for the timely preparation of proposal budget for the PI's review.

+ Review involves accuracy, content, adherence to all relevant guidelines.

+ Partner with and act as final point of contact with faculty and/or other staff and the research ORA office toward the planning and development of application submissions.

+ Provide excellent customer service to all faculty. Other duties as assigned.

_Post-Award Responsibilities_

+ Manage post-award processes, including award SAP setup, review/approval of expenses (shopping carts), account setup verification, and ensuring that is setup appropriately.

+ Maintain ongoing updates and communications related to current grants and contracts, including regular auditing and reporting to principal investigators on financial status of their grants, contracts and accounts. Also provide relevant updates and status reports to grants manager and departmental leadership, as needed.

+ Ensure that budget distribution, account reconciliation, e-form processing (to ensure effort is not on control salary), effort reporting, cost transfers, paying of invoices and paperwork finalization related to subcontract setup is completed timely.

+ Provide direct assistance working with the central office with submitting the Final FFRs, RPPRs, FRPPRs and invoices and ensuring of timely grant closeouts.

+ Serve as liaison between the central offices and PIs

+ Ensure compliance in all other areas related to grant and contract management, including sponsoring organization guidelines, within grant documents.

+ Remain updated on changes in policy and sponsors' requirements.

+ Provide excellent customer service to all faculty. Other duties as assigned

**Minimum Qualifications**

+ Bachelor's Degree in Business, Finance, or related field required.

+ Five years of grants administrative/budgeting experience, preferably in an academic or medical setting.

+ Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.

**Preferred Qualifications**
