Responsibilities

  • Utilize Quickbooks Online to manage and process customer credit applications with precision and timeliness.
  • Maintain a high level of organization to ensure accurate customer credit records.
  • Use Microsoft Outlook as a primary communication tool to handle customer inquiries and provide excellent customer service.
  • Regularly monitor customer accounts and take appropriate action based on account status.
  • Employ Ultra Tax software for efficient tax preparation and filing.
  • Ensure compliance with financial regulations and standards.
  • Analyze financial data to support business decision-making.
  • Prepare financial documents such as invoices, bills, and accounts payable and receivable.
  • Assist in budget preparation and expense management activities.
  • Collaborate with the team to prepare financial reports for management and stakeholders.

Qualifications

Required

  • Bachelor's degree in Accounting, Finance, or a related field.
  • Proficient in Microsoft Outlook, Quickbooks Online, and Ultra Tax.
  • Minimum of 3 years' experience in a similar role.
  • Strong understanding of Generally Accepted Accounting Principles (GAAP).
  • Excellent analytical and problem-solving skills.
  • Strong communication skills, both verbal and written.
  • Able to multitask, prioritize, and manage time effectively.
  • Detail-oriented and able to produce accurate and high-quality work.

Preferred

  • Certified Public Accountant (CPA) certification.
  • Ability to maintain confidentiality and exercise extreme discretion.

Our Client, a professional Business Services Firm is currently seeking a Sr. Bookkeeper due to growth and succession planning.

This is an excellent opportunity with a prestige firm with the with the ability to quickly advance your career. The right candidate will have 3+ years of Bookkeeping experience either with a Tax and Bookkeeping Firm or in a small company environment.


Duties for this position include:

  • Recording Financial Transactions: Bookkeepers are responsible for maintaining accurate financial records. They record all transactions and make sure that every penny is accounted for.
  • Reconciliation of Accounts: They need to reconcile all business accounts to ensure that the figures are accurate. This includes comparing the company's bank statements with the recorded financial transactions.
  • Preparation of Financial Statements: A bookkeeper is also responsible for preparing financial statements such as balance sheets, income statements, and cash flow statements. These reports provide an overview of the company's financial status.
  • Managing Accounts Payable and Receivable: Bookkeepers handle payments to suppliers, track customer payments and handle any discrepancies that might be present.
  • Payroll Processing: If a company has employees, the bookkeeper may also be in charge of processing payroll. This includes calculating wages, ensuring correct deductions, and making sure that employees are paid on time.
  • Compliance with Laws and Regulations: Bookkeepers have to ensure that all transactions and financial reports are in accordance with relevant laws and accounting principles.
  • Managing Tax Files: Bookkeepers often assist with preparing tax returns by organizing required documents, identifying deductible expenses, and submitting necessary paperwork.
  • Regularly Updating Financial Data: Bookkeepers are tasked with regularly updating financial records and ensuring they're up-to-date.
  • Budget Planning: In some cases, bookkeepers may also help in budget planning by providing insights into cash flow trends, expenses, and financial forecast.
  • Liaison with External Auditors: During audits, bookkeepers are responsible for providing all necessary documents, answering auditor queries, and implementing audit recommendations.
  • Degree or any kind a plus but not required
  • 3-5+ years or related experience as a Bookkeeper
  • Accounting / EA firm or corporate experience
  • QuickBooks Online required
  • General Bookkeeping - A/P, A/R, journal entries, G/L
  • Bank & Account Recs, debits & credits, expensed
  • Understanding of cash & accrual accounting preferred
  • Asset depreciation & tax prep experience a plus – will learn contract management and client pricing
  • Desire to be mentored, learn more and advance within the firm required
  • No direct reports initially – but once promoted, will eventually supervise 4+ (some remote)
  • Typical clients are “Mom & Pop” small businesses – plumbers, restaurants, etc.
  • Their largest bookkeeping client is $4 mill. In revenue
  • This Bookkeeping group provides monthly bookkeeping services
  • They then pass on the client their Tax advisory team (they are on Ultra Tax)
  • They also have a separate Payroll (sister company) called Payroll Vault
  • No biz dev required at this level. New clients come in from referrals
  • Desire to eventually supervise others.
  • 100% on-site for the 1st 90 days – then hybrid (1-2 days from home) depending on the week and workload
