The Conference Services Manager at Graves Hospitality is responsible for maintaining strong client relations, ensuring department specifications are communicated and executed for a successful meeting experience for meeting planners and attendees. Responsibilities

  • Serve the on-site group and catering customers in a proactive manner, working with the logistics of group room blocks, food and beverage, public meeting space and the billing process
  • Displays leadership in guest hospitality, exemplifies excellent customer service and creates a positive atmosphere for guest relations
  • Maintain & log all client communications in Delphi
  • Attend weekly internal meetings as dictated
  • Accurately forecast group rooms and group food & beverage revenues for assigned groups and affiliated business
  • Understand the importance of maintaining high meeting planner evaluation scores and implement effective methods to ensure exceeding meeting planner satisfaction
  • Responsible for prompt handling of incoming calls and monitoring the efficient flow of paperwork relative to confirming function details to the client
  • Have demonstrated knowledge with the ability to upsell clients while promoting a level of service equal to the luxury stature of the facility
  • Conduct hotel site inspections and client presentations
  • Review sales contracts and validate with client via turnover letter
  • Ability to produce artistic and innovative menus while working closely with the Executive Chef on pricing specialty menus
  • Work closely with banquet department on operations and event execution, ability to consistently deliver flawless events
  • Provide overall direction, coordination, and ongoing evaluation of operations
  • Detailed execution of all banquet event orders
  • Monitor group room blocks according to contract utilizing group history reports and information given by clients to maximize hotel revenue, making adjustments as needed

Qualifications

Required

  • 3+ years of previous work experience as a hotel Convention Services Manager in a luxury property
  • Experience working with Delphi.fdc and Social Table Diagrams
  • Knowledge of the Bloomington market

Preferred

  • Ability to remain calm with guests, co-workers or supervisors in sometimes tense situations
  • Understand the mission, vision and game plan of the hotel
  • Ability to proactively anticipate and understand guests service needs

Implements the handling of group business from Sales Managers after bookings have been turned definite, follows through with the hotel operations team and completes pre and post conference procedures.

YOUR DAY-TO-DAY

Maintain & log all client communications in Delphi. It is the responsibility of the Convention Services Manager to use Delphi to keep in touch with clients through phone calls, emails, letters and personal meetings.

Attend weekly internal meetings as dictated.

Accurately forecast group rooms and group food & beverage revenues for assigned groups and affiliated business.

Understand the importance of maintaining high meeting planner evaluation scores and implement effective methods to ensure exceeding meeting planner satisfaction.

Responsible for prompt handling (within the business day) of incoming calls and monitoring the efficient flow of paperwork relative to confirming function details to the client.

Have demonstrated knowledge with the ability to upsell clients while promoting a level of service equal to the luxury stature of the facility.

Review sales contracts as well as other important information, (i.e. room block cut off, special concessions and attrition clauses) and validate with client via turnover letter.

Ability to produce artistic and innovative menus while working closely with the Executive Chef on pricing specialty menus.

Work closely with banquet department on operations and event execution, ability to consistently deliver flawless events.

Provide overall direction, coordination, and ongoing evaluation of operations. Detailed execution of all banquet event orders.

WHAT WE NEED FROM YOU

3+ years of previous work experience as a hotel Convention Services Manager in a luxury property is preferred.

Experience working with Delphi.fdc and Social Table Diagrams is preferred.

Knowledge of the Bloomington market preferred.

Ability to remain calm with guests, co-workers or supervisors in sometimes tense situations.

Understand the mission, vision and game plan of the hotel.
