Responsibilities

  • Greet all staff and clients with positive professionalism.
  • Work with and closely communicate with senior administrative staff.
  • Act as a point of contact between clients and staff
  • Manage and update workflow systems.
  • Maintain and update contact lists.
  • Write and distribute emails, correspondence, memos, letters, faxes, and forms.
  • Scan and maintain data management.
  • Assist with accounts payable, billing, and accounts receivable.
  • Effectively manage communications, calls, emails, meetings
  • Provide courteous support to clients/visitors/staff.
  • Manage office supplies by taking inventory, placing orders, and researching cost-saving opportunities and new suppliers.
  • Process tax returns
  • Participate in SMG ABA recruiting, team-building, and other firm events.
  • Assist with other tasks and projects as needed.

Qualifications

Required

  • 2 years of Administrative Assistant, accounting experience, AP, AR, Tax, Bookkeeping, Billing
  • Associate degree or higher is preferred, High School diploma or equivalent is required.
  • Good general computer skills are required.
  • Proficient in MS Office Suite.
  • Excellent communication both written and verbal.
  • Self-motivated, highly organized, and able to multi-task.
  • Able to maintain confidentiality and handle sensitive information with discretion.
  • Professional demeanor and strong customer service orientation.
  • Must be able to sit for long periods of time.

Schedule: Full-Time | Monday – Friday | 8:45 am – 5:30 pm

Salary: $55,000 – $65,000 annually

You will handle a wide range of tasks including managing executive projects, assisting with accounting functions like accounts payable and receivable, billing, and tax returns. Key Responsibilities:

What You’ll Need:

  • At least 2 years of experience as an Administrative Assistant, with exposure to accounting, AP, AR, tax, bookkeeping, and billing.
  • An Associate degree or higher is preferred; a High School diploma or equivalent is required.
  • Proficiency in MS Office Suite and general computer skills.
  • Excellent written and verbal communication abilities.
  • Strong organizational skills, with the ability to multi-task and stay self-motivated.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Professional demeanor and strong customer service orientation.
  • Physical ability to sit for extended periods.
