Satellite Biosciences is seeking a Temporary Executive Assistant to provide administrative support and execute company events. Responsibilities

  • Schedule meetings (internal and external) and provide administrative & scheduling support to three executive team members.
  • Assist in coordinating logistics for company events.
  • Keep staff updated on company-wide developments and events via Slack and other appropriate channels.
  • Welcome and host onsite visitors, guests, and vendors.
  • Receive & distribute mail, ship express packages.
  • Route documents to signature & file signed documents as appropriate.
  • Support ad hoc projects as needed to streamline operational performance across the company.
  • Manage ordering & stocking of office provisions (e.g., office supplies, kitchen supplies, snacks) and proactively replenish stock as necessary to maintain inventory levels.
  • Upload vendor invoices from the AP email to the system
  • Research and respond to vendor inquiries.
  • Research and respond to internal inquiries regarding purchase orders & invoices.

Qualifications

Required

  • 3+ years of relevant experience in executive administration, preferably within the biotech industry.
  • BS degree preferred.
  • Experience scheduling meetings for diverse high-value external parties such as investors, partners, and board members.
  • Strong organizational, problem-solving and planning skills in a fast-paced environment.
  • Polished written and verbal communication skills and the ability to maintain discretion when working with privileged information.
  • Ability to work effectively with staff and external parties at all levels.
  • Excellent time management, communication, and prioritization skills.
  • Positive attitude and professional disposition.
  • Demonstrated flexibility to readily understand priorities and anticipate needs, and the ability to work effectively amidst ambiguity to meet the varying daily needs of the organization.
  • Proficiency with Google Suite and Microsoft Office.

We are seeking a skilled Temporary Executive Assistant to provide administrative support and execute company events. We’re looking for a positive, energetic professional who enjoys wearing multiple hats. The role will help to create and maintain a collaborative work environment, ensuring high levels of organizational effectiveness.


This role requires 80% weekly onsite in Watertown and is projected to run from October 01, 2024, to mid-January 2025 with possibility for part-time extension.
