  • Complete in-house accounting functions, including accounts payable & receivable, invoicing & payments, purchase orders, and expense reports
  • Assist in managing customer portals; provide top-notch customer service through all interactions; answer phones for inbound calls and assist customers of the service department
  • Ensure completeness and accuracy when entering data into multiple systems, setting up new job parameters, maintaining and updating service logs; updating field staff calendars to complete assignments

Qualifications

Required

  • Previous experience as an Administrative Assistant, preferably in construction-related or fire protection industry
  • Strong data entry and computer skills, including Microsoft Office suite, database systems (Penta a plus), data retrieval, report generation, and Inspect Point (BIG Plus)
  • High school diploma or equivalent; Bachelor’s degree in business, accounting, or related preferred
  • Effectively collaborate with and support team members, both in office and field operations
  • Demonstrate time management skills; successfully work on multiple projects and meet deadlines
  • Ability to communicate effectively, both verbally and written, to varied levels of audiences

You Are:


  • EXPERIENCED: Previous experience as an Administrative Assistant, preferably in construction-related or fire protection industry
  • TECHNICAL: Strong data entry and computer skills, including Microsoft Office suite, database systems (Penta a plus), data retrieval, report generation, and Inspect Point (BIG Plus)
  • KNOWLEDGEABLE: High school diploma or equivalent; Bachelor’s degree in business, accounting, or related preferred
  • A TEAM PLAYER: Effectively collaborate with and support team members, both in office and field operations
  • A SELF-STARTER: Demonstrate time management skills; successfully work on multiple projects and meet deadlines
