These individuals will be responsible for front desk reception duties, sharing administrative tasks, and supporting the Vice President, Administration.   • Assist with ad hoc projects as needed.
  • Provide direct administrative support to Vice President, Administration.
  • Schedule and organize meetings, conference/video calls, and appointments.
  • Prepare, process, and submit expense reports.
  • Assist with ad hoc projects related to IT/Cybersecurity, facilities, etc.

Qualifications

Required

  • Minimum 2-5+ years of applicable reception/administrative experience.
  • Bachelor’s degree preferred.
  • High degree of professionalism, initiative, and independence.
  • Excellent time management, organizational, and interpersonal skills.
  • Great attitude and comfortable working autonomously.
  • Hands-on problem solver and flexible team player with a “can do” attitude.
  • Excellent interpersonal and communication skills (both oral and written).
  • Strong Microsoft Office Suite skills.

Full Job Description

A Billion-Dollar Private Equity Firm with gorgeous offices in Downtown Manhattan is seeking 2 new Receptionists to join their growing team. Both positions report to the VP, Administration who is absolutely lovely and a true mentor/trainer! These two individuals will be sitting up front at reception and will be sharing administrative responsibilities. Candidates must have a minimum of 2-5+ years of applicable experience and a Bachelor’s degree is strongly preferred/required. They should also have excellent time management, organizational, and interpersonal/communication skills, a positive attitude and proactive mentality, a high degree of professionalism, and the ability to work independently and as part of a team.   • Salary depends on experience (80-100k base), plus 20% discretionary bonus eligibility. 100% company-paid medical/dental/vision, 15 vacation days, 5 PTO days, free lunch (fully paid by company), 401k match, etc.
  • Hours are 8:00/8:30am-5:00/5:30pm. 5 days in office (M-F).


Responsibilities:


  • Reception and Facilities Management duties:
  • Screen, answer, and route incoming phone calls. Respond to and address emails and inquiries.
  • Welcome guests and receive deliveries.
  • Manage, track, and maintain conference room calendars to prevent double bookings.
  • General conference room maintenance of to ensure they are in operable conditions throughout the day.
  • Support pre-meeting set up and arrange catering, refreshments, AV equipment, etc.
  • Troubleshoot AV and technology issues and escalate unresolved issues to tech support vendors.
  • Monitor and manage vendors to address office maintenance and cleaning needs.
  • Directly manage the purchasing and stocking of the pantry, supply room, and gym.
  • Liaise with office vendors (HVAC, floral, plants, building mgmt., copiers, cleaning, linen service, etc.).
  • Receive and distribute incoming mail and packages, and coordinate outbound package pick up.
  • General maintenance of office as it relates to copiers, pantry, conference rooms, etc.
  • Assist with ad hoc projects as needed (i.e., events).
  • Administrative duties:
  • Provide direct administrative support to Vice President, Administration.
  • Responsible for phone coverage and general administrative support.
  • Schedule and organize meetings, conference/video calls, and appointments; manage and maintain busy calendar.
  • Prepare, process, and submit expense reports.
  • Assist with ad hoc projects related to IT/Cybersecurity, facilities, etc.
