We are seeking a goal-driven, high-EQ, solutions-oriented Executive Personal Assistant to manage professional and personal activities for a successful Executive with holdings in real estate, marketing, and restaurants. This role involves executive functions, personal activities, and requires occasional onsite work in Scottsdale/Phoenix and travel. Responsibilities

  • Manage professional and personal activities around a growing business portfolio.
  • Track and update projects in Asana, including timelines, budgets, expenses, communications, and other relevant information.
  • Regular check-ins with business leadership to update project notes and timelines.
  • Heavy calendar management and scheduling for meetings, events, personal appointments, travel, and any/all business and personal commitments.
  • Manage email communications.
  • Manage vendor communications for real estate projects, including contractors, designers, brand partners, etc., and assist with renovation projects as needed.
  • Coordinate business admin in coordination with internal HR, Legal, and Accounting teams.
  • Plan and coordinate events.
  • Heavy travel coordination for Executive and hosted parties.
  • Coordinate house maintenance, housekeeping, deliveries, etc.
  • Perform personal errands, shopping, and miscellaneous tasks.

Qualifications

Required

  • Bachelor's degree
  • Experience as an Executive or Personal Assistant
  • Ability to work remotely and available for monthly onsite meetings
  • Ability to travel occasionally domestically and internationally (passport required)
  • Strong project management abilities, Asana experience preferred
  • Proficient across G Suite applications - Calendar, Gmail, Docs, Sheets, etc.
  • Experienced in booking travel, including international, creating itineraries, and ensuring stress-free experiences
  • Intensely details-focused and organized
  • Able to execute autonomously and ask questions needed to move projects forward

Full Job Description

We're looking for a goal-driven, high-EQ, solutions-oriented Executive Personal Assistant who's ready to step outside of the cubicle and expand their impact (and opportunities) as the right-hand person to a successful Executive who splits time between San Diego and Scottsdale. In this role, you'll help manage his professional and personal activities around a growing business portfolio that includes holdings in real estate, marketing, and restaurants.


Our ideal candidate is a strong communicator, self-manages, and can easily transition from one project focus to another while maintaining extremely high standards of excellence and attention to detail.


This role is primarily focused on executive functions, but will require assistance in personal activities as well.


Start date: ASAP

Employment Status: Contract

Work location: Remote with occasional onsite requirements in the Scottsdale/Phoenix area; occasional travel may be requested (domestically and internationally)

Compensation: $70,000-$80,000 annually (or depending on experience) + monthly healthcare stipend


Position focus areas:

Qualifications/Requirements:

  • Bachelor's degree with prior experience as an Exec or Personal Assistant
  • Must be able to work extremely well remotely and available for monthly onsite meetings as required
  • Must be able to travel occasionally to assist with business functions both domestically and internationally (passport required)
  • Strong project management abilities, Asana experience preferred
  • Experienced booking travel, including international; flights, hotels, dining, activities, etc. creating itineraries, and ensuring stress-free experiences (or as close to as possible)
  • Intensely details-focused and organized
  • Proficient across G Suite applications - Calendar, Gmail, Docs, Sheets, etc.
  • Experienced managing multiple priorities at once
  • Strong ability to multi-task with great follow-up skills
  • Extremely strong written and verbal communication skills
  • Able to roll with punches, adapt, problem-solve
  • Can execute autonomously and ask questions needed to move projects forward
