Overview

Position Summary: The Senior Administrative Assistant provides an advanced level of administrative support to various executives with complex organizational responsibilities, including heavy calendar management, scheduling travel and arranging meetings. The level of support requires a good understanding of the executives' organization, along with the business knowledge to communicate and work effectively with the executive's organization and clients. Administrative duties for the residency and fellowship programs, as well as a constant stream of observers (which require onboarding).

Key Responsibilities:
  • Day-to-day administrative operations such as call schedule management, meeting scheduling, incoming phone/fax management, financial reimbursements, and ordering supplies/equipment.
  • Composing high-level emails and letters with minimal information, ensuring proper use of English grammar (e.g., your/you're, their/there/they're).
  • Thorough knowledge of Outlook, including cc/bcc protocols.

Minimum Experience: 3+ year's professional office experience.
  • Advanced secretarial and administrative experience required.
  • Meeting and event planning support preferred.
  • Understanding of basic bookkeeping and budgets is preferred.
  • Ability to work within deadlines and time constraints using proven methods (e.g., post-its, calendar reminders, lists).
  • An outside-the-box thinker with the ability to conduct independent research via the Internet before asking for assistance (e.g., problem solver).
  • Ability to work independently with minimal oversight. Candidate must feel comfortable asking for help if they don't understand divisional protocols or procedures.
  • Knowledge of Ophthalmology terms is not required; however, the ability to research via the Internet and retain knowledge is preferred.

Minimum Education: High school graduate. Bachelor's preferred.

Pay Scale Information

$46,800.00-$80,850.00

Final determination of a successful candidate's starting pay will vary based on a number of factors, including, but not limited to education and experience within the job or the industry. The pay scale listed for this position is generally for candidates that meet the specified qualifications and requirements listed on this specific job description. Additional pay may be determined for those candidates that exceed these specified qualifications and requirements.
