Responsibilities

  • Manage and coordinate all non-production operations at Houston Gessner office
  • Supervise, manage, and direct the work of Administrative Assistant/Receptionist
  • Participate with offices' management teams on decisions affecting the office and/or employees
  • Be a resource on company policies and procedures
  • Complete monthly expense reports for Office President through Workday
  • Complete HR Manager Pre-Onboarding New Hire and Termination Checklists
  • Complete I-9's for new hires
  • Maintain Floor Plan
  • Review and approve all Quench/coffee and Quill/office and breakroom supplies
  • Handle, facilitate, and set-up/clean-up catering orders for in house meetings
  • Maintain calendar for employee's birthdays and send out greetings
  • Responsible for office security access system
  • Order business cards for employees
  • Order envelopes and stationery
  • Order marketing supplies including golf attire for client giveaways
  • Ensure that all documents and document history are saved on the Z: drive
  • Work with Trifecta to change voicemail message for early closures
  • Coordinate and schedule office events/parties
  • Work with Property Manager reconciling monthly statements against credit, assign parking spaces
  • Sponsorships: gather information, approvals, submit, spreadsheet tracking for budget
  • Manage costs of Give-a-ways, Carrier and Holiday events, IT Expenses, Charity/Sponsorship events, Season Tickets
  • Work directly with the two Office Presidents on assignments/projects

Position Summary
Manages the Executives calendar, including scheduling meetings, conference calls, and travel arrangements. Prepares and edits correspondence, reports, and presentations. Coordinates and manages projects, including researching and gathering information

What will your job entail?
  • Manage and coordinate all non-production operations at Houston Gessner office
  • Supervise, manage, and direct the work of Administrative Assistant/Receptionist, specifically one (1) full-time employee at the Houston Gessner office; includes time keeping, time card approval, hiring/recruiting/interviewing to fill vacancies, addressing work performance, involvement in new hires and terminations as needed, and other managerial duties as necessary
  • Participate with offices' management teams on decisions regarding matters of significance affecting the office and/or employees
  • Be a resource for the office on company policies and procedures, educating employees on policies and helping them to achieve alignment with policies
  • Complete monthly expense reports for Office President through Workday
  • Complete HR Manager Pre-Onboarding New Hire and Termination Checklists
  • Complete I-9's for new hires
  • Maintain Floor Plan
  • Review and approve all Quench/coffee and Quill/office and breakroom ms supplies
  • Handle, facilitate, and set-up/clean-up catering orders for in house meetings

  • Budget: manage costs of Give-a-ways, Carrier and Holiday events, IT Expenses, Charity/Sponsorship events, Season Tickets
  • Work directly with the two Office Presidents to handle/coordinate any assignment/projects
  • Work with all team members on numerous requests
  • Work with newly appointed Social Committee on events: venue selection, food & drink, decorations, giveaways, name badges, agreements and invoices through Workday
  • Other duties as assigned by the National Director of Administration and Logistics, Regional Operations Manager, office leadership, or others within reporting relationship including Utilization Report

The target salary range for this position is $62,000.00 - $81,375.00 annually.

The wage range for this role considers many factors, such as training, transferable skills, work experience, licensure and certification, business needs, and market demands. The pay range is subject to change and may be modified in the future. Full-time roles are eligible for bonuses and benefits.
