The Receptionist at Troon Golf is responsible for answering all incoming calls to the main switchboard professionally and efficiently, providing a positive and professional first impression to all guests, and directing them accordingly.   • Determines purpose of calls and forwards calls to appropriate associate or department.
  • Provides callers with information such as company address, directions, phone/fax numbers, website details, and any other personnel/department/company related information.
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
  • Receives and distributes all incoming packages (FedEx, UPS, DHL, etc.) by emailing the recipient.
  • Maintains phone extension, home address and birthday chart lists.
  • Sends birthday announcements.
  • Tidy and maintain the reception area and upstairs bar area. Run upstairs dishwasher as needed.
  • Reports any issues to Manager, Housekeeping, and Maintenance as needed.
  • Turns Golf Simulator on and off, plus lighting in Reception.
  • Delivers daily newspapers to CEO's office.
  • Provides general administrative and clerical support and assist other departments with miscellaneous tasks as needed.
  • Requests access passes for temps and permanent Employees, log onto spreadsheet. Return passes to Security when employee leaves or request deactivation and replacement if lost. Keep spreadsheet up to date.
  • Coordinates and sorts company mail.
  • Ensures outgoing mail and packages are collected and update daily FedEx tracking sheet.
  • Books meeting rooms and company cars as needed.
  • Coordinates large deliveries/pickups as needed by Design, IT etc.
  • Coordinates executive expense reports.

Qualifications

Required

  • High school diploma or general education degree.
  • Six months to a year of related experience and/or training, or equivalent combination of education and experience.
  • Ability to read and speak English.
  • Computer literate.

Preferred

  • Bilingual (Spanish).

Education/Experience:

Physical Demands:

Typical office environment. This is largely a sedentary role as associate must remain at the reception desk to perform duties listed above. May need to lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
