The Operational Supervisor at Heluna Health will work closely with the Program Manager to develop and implement processes, oversee program staff, and manage all aspects of the San Francisco Homeless Outreach Contract. Responsibilities

  • Works closely with Program Manager, Contracts and Grants Manager, Program Accountant, and HR Generalist to ensure contract compliance.
  • Oversee Operations Coordinator, Administrative Assistant, and subcontractor CODE TL.
  • Support the Program Manager to monitor, analyze, and manage the SFHOT contract budget.
  • Serve as the liaison between Heluna Health, HSH, the San Francisco Mayor's Office, community partners, etc., when the Program Manager is not available.
  • Oversee operations administration, including purchasing of supplies, facility and equipment, travel, and maintenance.
  • Support the Program Manager by overseeing the administration of invoice review and approval, credit card reconciliation, and all payables reconciliation.
  • Manage and Oversee CODE TL project performance, timelines, and deliverables.
  • Support Program Manager by coordinating programmatic, administrative, and fiscal activities.
  • Develops project budgets in collaboration with project staff and Heluna Health client support team.
  • Maintains documentation of all administrative, fiscal, and programmatic activities.
  • Maintains excellent working relationship with Heluna Health Clients and Program Partners.
  • Schedules and coordinates various meetings with staff to ensure program safety and success.
  • Prepare notes, reports, and other documents for monitoring and reporting activities.
  • Directly responsible for the smooth and professional functioning of the internal program team and external projects.

Qualifications

Required

  • High School Graduate.
  • Bachelor's degree from a four-year college or university or five years related experience and/or training highly desirable.
  • Experience with providing support to the homeless is also highly desirable.
  • Possess a valid Class C California Driver's License and provide proof of automobile insurance or ability to utilize an alternate method of transportation.
  • Ability to meet deadlines, multi-task, effectively delegate and work under pressure.
  • Excellent interpersonal and communication skills.
  • Proficient in Microsoft Office Suite products such as Outlook, Word, Excel, and PowerPoint.
  • Proficient in database software (such as Microsoft Access).
  • Ability to work independently with minimum supervision.
  • Ability to problem-solve, multi-task, and meet deadlines.
  • Ability to organize and direct projects to successful completion.
  • Ability to work as part of a team across different agencies, disciplines, and locations.
  • Ability to actively participate in and contribute to internal and external meetings, collaborations, and coalitions.

SUMMARY

The Operational Supervisor will work closely with Program Manager to develop and implement processes, work with program staff, and assist HQ leadership with defining and prioritizing strategic projects and day to day program operations, and managing all aspects of the San Francisco Homeless Outreach Contract (SFHOT).

The Operational Supervisor will provide sound "best practices" in project management and will cultivate relationships and partnerships with all external and internal customers by providing warm, friendly, positive and supportive services.

ESSENTIAL FUNCTIONS

  • Works closely with Program Manager, Contracts and Grants Manager, Program Accountant, and HR Generalist to ensure the contract stays compliant.
  • Oversee Operations Coordinator, Administrative Assistant, and subcontractor CODE TL.
  • Support the Program Manager to monitor, analyze, and manage the SFHOT contract budget and work closely with the Program Manager.
  • Serve as the liaison between Heluna Health, HSH, the San Francisco Mayor's Office, community partners, etc., when the Program Manager is not available.
  • Oversee operations administration, including purchasing of supplies, facility and equipment, travel, and maintenance. May support with training arrangements that may include travel.
  • Support the Program Manager by overseeing the administration of invoice review and approval, credit card reconciliation, and all payables reconciliation.
  • Manage and Oversee CODE TL project performance, timelines, and deliverables, provide direction and support to project teams, and oversee all project deliverables using appropriate project management tools.
  • Support Program Manager by coordinating programmatic, administrative, and fiscal activities.
  • Develops project budgets, in collaboration with project staff and Heluna Health client support team.
  • Maintains documentation (e.g., spreadsheets, reports) of all administrative, fiscal, and programmatic activities, as indicated.
  • Maintains excellent working relationship with Heluna Health Clients and Program Partners, Subcontractors, Vendors, and other partners.
  • Schedules and coordinates various meetings with staff to ensure program safety, issues, and program success.
  • Prepare notes, reports and other documents for monitoring and reporting activities, as required, to ensure compliance with funding or other applicable regulations, or as directed.
  • Directly responsible for the smooth and professional functioning of the internal program team and external projects when assigned.
  • Leads, coordinates, and oversees program staff activities and project compliance.
  • Performs other duties as assigned.

JOB QUALIFICATIONS

Education/Experience

  • High School Graduate. Bachelor's degree from a four-year college or university or five years related experience and/or training highly desirable. Experience with providing support to the homeless is also highly desirable.

Certificates/Licenses/Clearances

  • Possess a valid Class C California Driver's License and provide proof of automobile insurance -OR- the ability to utilize an alternate method of transportation when needed to carry out job-related essential functions.
