Qualifications

Required

  • Bachelor's degree in related field; Master's degree a plus.
  • Minimum 5-8 years of progressively responsible management experience, preferably in university administration.
  • Experience in university administration, personnel management, and HR.
  • Experience in strategic planning, program and project development, and building partnerships and networks.
  • Strong financial and budget planning background.
  • Windows or Macintosh and MS Office experience required.

Preferred

  • Familiarity with African Studies
  • Fundraising or donor canvassing experience
  • Experience with sourcing and/or managing grants

Full Job Description

This position provides administrative support to the Director of the Pardee School Center of Latin America. The successful candidate will manage, advertise, and schedule a broad range of center events workshops, symposia, conferences, etc... They will oversee the centers operational budget and prepare and maintain a variety of reports, correspondences, including filing financial reports. They will maintain the Center's website and coordinate use of social media, as well as hire and supervise student workers and contractors as required or needed. Management of the Graduate Certificate in Latin Studies; increasing our programs for visiting scholars/ visiting researchers. Interact with students, student organizations, faculty, staff, and other parties as a source of information. They will also Manage the Director's calendar and prioritize tasks and other duties for the Director. Finance and Administration Oversee the centers operational budget and prepare and maintain a variety of reports, correspondences, including annual budget together with the Pardee Executive Director Finance & Administration; work with A/P and other offices to pay invoices and bills; process financial transaction reports. Coordinate all event-related tasks, including room reservations, setup, cleanup, speaker travel arrangements, post-event dinners, reimbursement of speakers out-of-pocket expenses, etc.

Communication

+ Maintain and provide weekly updates to the Center's website, including weekly reports on faculty and student activities related to Latin America studies; coordinate use of and provide weekly updates on other social media, as well as hire and supervise student workers and contractors as required or needed; communicate and coordinate with BU faculty and student organizations oriented to Latin Americans; coordinate planning of joint events with the center-linked students.

Administration

+ Assist director in the preparation and submission of grant applications; manage and increase our programs for visiting scholars/ visiting researchers; maintain all sponsored Program.

+ Interact with students, student organizations, faculty, staff, and other parties as a source of information.

Academic Support

+ Support for undergraduate major, grad degree and certificate in Latin America studies.

+ Work with Pardee Student Services and Career Services Offices to ensure quality of the Latin American offering and visibility.

+ Update each semester of Latin Studies-related course lists and academic aspects of Latin America Studies at Pardee; distribution of said lists to relevant faculty and departments; inform departments and Center-linked students of Latin-related courses offered each semester.

Required Skills

+ Bachelor's degree in related field; Master's degree a plus.

+ Minimum 5-8 years of progressively responsible management experience, preferably in university administration.
