The Document Control Specialist at C.H. Guenther & Son LLC is responsible for ensuring compliance with the document control system to meet quality and regulatory requirements.   • Ensures proper identification, numbering, and approval signatures for documents
  • Maintains document control systems and provides a master list of documents and document history
  • Liaises with external and internal parties for quality system documentation accuracy
  • Performs document control training
  • Functions as a SQF Practitioner in the absence of the QA Manager and QA Team Lead
  • Coordinates and performs periodic gap analysis of the document control system
  • Maintains and Manages the Supplier Scorecard
  • Maintains a system for identifying, filing, storing, retaining, and destroying quality records
  • Facilitates the implementation of changes to the document management system
  • Ensures compliance to customer documentation and reporting requirements
  • Promotes, implements, monitors, and maintains Food Safety Culture

Qualifications

Full Job Description

This position is responsible for auditing for compliance for the overall document control system to ensure that the quality management system documentation is suitability controlled to meet quality and regulatory requirements.

Duties and Responsibilities:

• Subject matter expert for electronic and paper-based document control system

• Reviews, recommends edits and standardization of procedures, work instructions, specifications, forms, and any other related documentation to assure alterations to the original records are properly performed, documented, substantiated, reviewed and approved by the document owners

• Coordinates change management of the document control system

• Ensures that the documents have proper identification, numbered in accordance with plant procedures and proper approval signatures are obtained prior to issue

• Maintains document control systems and provides a master list of documents and document history

• Liaise with external and internal parties to ensure all quality system documentation is accurate and complete

• Perform document control training

• Responsible for the food safety and quality programs as assigned by the SQF practitioner.

• Function as a SQF Practioner in case QA Manager and QA Team Lead Absents.

• Coordinates and performs periodic gap analysis of the document control system to verify that only the latest approved documents are in use.

• Maintains and Manages the Supplier Scorecard.

• Maintains a system and procedural requirements for identifying, filing, storing, retaining, and destroying quality records.

• Facilitate the implementation of changes to the document management system

• Ensures compliance to customer documentation and reporting requirements.

• Performs other duties as assigned.

• Promote, implement, Monitor and Maintain Food Safety Culture.

Minimum Job Requirements:

Education/Certifications:

• Associate/ degree in a science field, e.g., Chemistry, Food Science, Biology, etc. preferred

• HACCP preferred

Experience:

• Minimum of 2 years of experience required

• Prefer experience in a food production environment

Working Conditions and Physical Effort:

• Work involves daily exposure to unusual elements such as dirt, dust, fumes, darkness and/or noise. Seasonal exposure to weather elements includes, but is not limited to, extreme temperatures, wetness and humidity.

• Work environment involves daily exposure to physical risks such as working around mechanical equipment, forklifts, chemical hazards, and electrical hazards.

• Position requires the ability to stand at the will-call window, sitting frequently at a desk, walking around the office and plant; carrying packages up to 50 pounds; utilizing fine dexterity; reaching and kneeling on a daily basis. Also requires the ability to see, hear and communicate with associates as well as others by utilizing professional etiquette.

• Personal protective equipment, as defined by C.H. Guenther & Son, Inc. will be provided.

Back-up Provision for Key Personnel: The QA Team Leader will function as a back-up for implementing and managing the current SQF code and edition - Food Safety and Quality System, when the Document Control Specialist is not available.
