General Job Description:
This position serves as the face of the Adult Education Department. This person will provide administrative support for the Adult Education Department. A wide range of administrative support services necessary for the efficient management of the Department including but not limited to financial record keeping, coordination of meetings and conferences, obtaining supplies, coordinating correspondence and assembling information are a part of this position.

Qualifications:

ESSENTIAL FUNCTIONS:
* Assists the administrator with the daily functions of the department to ensure efficient and
professional operations
* Schedules and organizes complex activities such as meetings, travel, conferences and department
activities for all members of the department
* Performs desktop publishing. Types and designs general correspondences, utilizing standard district
letterhead, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar
and layout, making appropriate changes. Responsible for accuracy and clarity of final copy
* Establishes, develops, maintains and updates filing system for the administrator(s) and the
department(s). Retrieves information from files when needed
* Organizes and prioritizes large volumes of information and calls
* Sorts and distributes mail. Opens mail for the administrator. Drafts written responses or replies by
phone or e-mail when necessary. Responds to regularly occurring requests for information
* Answers phones for administrator(s) and department(s). Takes messages or fields/answers all routine
and non-routine questions. Works in cooperation with other administrative assistants to cover phones.
* Greets all visitors courteously, determines needs and directs them to the proper person and/or office
while using the building security visitor check in
* Acts as a liaison with other departments and outside agencies, including high-level staff visiting from
various organizations and provides assistance as needed
* Demonstrates and maintains positive communication and cooperation between the career center,
associate school districts, staff, students, employees and community members
* Handles confidential and non-routine information and explains policies when necessary
* Accurately compiles and inputs data into state software systems
* Works independently and within a team on special nonrecurring and ongoing projects. Acts as project
manager for special projects, at the request of the administrator, which may include: planning and
coordinating multiple presentations, disseminating information, coordinating direct mailings, creating
brochures, etc.
* Assignment may require the collection of money. Ability to collect money, prepare a receipt, prepare a
deposit and submit it to the Treasurer's office

OTHER DUTIES AND FUNCTIONS:

* Performs all other duties as assigned by the Superintendent or designee

KNOWLEDGE OF: Board policies and procedures, high school building policies and procedures, student code
of conduct, and emergency preparedness drills. Additional knowledge of professional office behaviors,
community resource agencies, state and federal reporting, customer service and public relations is needed in
this position.
ABILITY TO: Interpret policies, procedures and regulations, follow instructions, communicate effectively,
maintain files and reports, collect accurate data, lift a moderate amount of weight, and prepare accurate and
concise reports. Recognize individual differences; develop rapport with students, staff, co-workers, and
administration and community members.

Salary range from: $19.11/hr Up to 16 hours/wk
Monday - Thrusady 4:30 - 8:30pm
