  • Manages the Dean's P-Card reconciliations in a timely manner.
  • Performs administrative work and special projects as assigned by Dean.
  • Assist by reading/researching/collecting and analyzing information as needed.

Qualifications

Required

  • Bachelor's degree
  • 2 or more years working in an office environment
  • 2 or more years working at an executive level position
  • Fluent computer skills in the Windows environment, including MS Office Suite
  • Experience in Oracle and PeopleSoft preferred

MANAGING THE DEAN'S CALENDAR
  • Reports directly to the Dean.
  • Manages the Dean's high-volume calendar including making travel arrangements and coordinating engagements.
  • As gatekeeper, assures the Dean's time is effectively prioritized when responding to a wide range of inquiries from faculty, staff, alumni and other contacts.
  • Organizes in-person and virtual meetings, and records minutes or notes, if needed.

ADMINISTRATIVE
  • Manages multiple tasks with competing deadlines by efficiently using a range computer applications, systems and productivity tools.
  • Proactively follows up on tasks to ensure satisfactory and timely completion of projects
  • Handles correspondence and communications for the Dean's office.
  • Functions as the Dean's liaison across the campuses, with upper administration and at all levels of internal and external contacts, including the School's active community of alumni and donors, requiring a high degree of discretion and diplomacy. As the Dean's liaison, works closely with the School's Event Management Specialist for events involving the Dean, including fundraising activities.
  • Manages an organized and professional office environment, including overseeing office supplies & maintenance.
  • Assists the Dean and Manager with the Reappointment, Promotions, Tenure and Sabbatical process.
  • Manages the Dean's P-Card reconciliations in a timely manner.
  • Performs administrative work and special projects as assigned by Dean.

Qualifications

  • Bachelor's degree required
  • 2 or more years working in an office environment
  • 2 or more years working at an executive level position.
  • Fluent computer skills in the Windows environment, including MS Office Suite with an emphasis on Outlook (email and calendar management), Word, Excel and PowerPoint; shared platforms such as Google Drive and OneDrive, Zoom and Microsoft Meeting
  • Experience in Oracle and PeopleSoft preferred, with trainability in necessary software and systems.
  • Ability to multitask with timeliness and attention to detail
  • Excellent project management and follow up skills
  • Effective and professional communication and interpersonal skills, both verbally and in writing
  • Periodcally, will need to be available after regular business hours for completion of critical work assignments.
