  • Serve as an ex officio member of CBJC's Technology Committee and as a LegalServer Administrator.
  • Perform troubleshooting support for common tech issues and requests regarding equipment and software.
  • Other administrative, operations, and program support tasks as needed.

Qualifications

Required

  • Bachelor's degree or substantially equivalent work experience in a professional setting.
  • 1-2 years of administrative experience.
  • Strong organizational and project management skills.
  • Excellent verbal and written communication skills.
  • Excellent computer skills, including proficiency with Office 365 and the ability to quickly develop proficiency with a wide range of technologies.
  • Demonstrated commitment to nonprofit/public interest legal work.
  • Excellent time management skills.
  • Availability for a 3-4 days a week in-person work schedule in Midtown Manhattan.
  • Authorization to work in the United States.

Operations and Program Coordinator
FLSA: Non-Exempt


The City Bar Justice Center (CBJC) seeks an enthusiastic and organized professional who is committed to equal access to justice to join our team as an Operations and Program Coordinator. CBJC annually provides high-quality, free civil legal services benefiting over 25,000 New Yorkers who lack the resources to hire a private attorney. CBJC also relies on partnerships with the City Bar, law firms, corporate legal departments, the courts, and other stakeholders. In the past year, over 2,200 pro bono attorneys donated services to support work drawn from CBJC's dozen civil legal services projects. The Operations and Program Coordinator plays a critical role supporting the infrastructure that CBJC needs to advance its mission and provide client-centered services.

Reporting to the Director of Operations, the Operations and Program Coordinator's areas of responsibility include, but are not limited to:
  • Office Operations and Systems
    • Provide day-to-day office administrative support, including handling front desk inquiries, mail, and general CBJC email/phone inquiries.

    • Manage invoices and vendor accounts/subscriptions and provide the executive team with monthly accounting support.
    • Serve as the point person for the onboarding/offboarding of staff, interns, and law students, and provide administrative support for CBJC's summer intern program.
    • Maintain the smooth operation of CBJC's hybrid work schedule and environment and provide operational support for team and professional development meetings.
    • Provide support to the Director of Operations in developing, implementing, and maintaining operational policies and systems that support CBJC's legal services, including HR, data, technology, and grants management.
    • As needed, provide administrative and operational support for special programs and events (e.g., CBJC's Annual Gala, Pro Bono Awards, Veteran's Day Breakfast) or organization-wide programs (e.g., emergency response clinics).
  • Program, Data Management, and Technology Support
  • Support CBJC management in operating an efficient and streamlined process for timely legal services data analysis and provide efficient and timely data support for CBJC's grant applications and reporting and performance contract obligations.
  • Help maintain CBJC's Toolbox site (the organization's resource hub), updating guides, training materials, and other staff resources as needed.
  • Serve as an ex officio member of CBJC's Technology Committee and as a LegalServer Administrator, identifying and implementing best practices for maximizing office technology and improving programs' operational efficiency.
  • Perform troubleshooting support for common tech issues and requests regarding equipment (e.g., computers, laptops, printers) and software (e.g., LegalServer, Microsoft Office365).
  • Other administrative, operations, and program support tasks as needed.

EXPERIENCE, SKILLS, AND REQUIREMENTS
  • Bachelor's degree (preferably with concentrations in business operations, operations management, or tech) or substantially equivalent work experience in a professional setting, with a minimum of 1-2 year's administrative experience required (relevant internships acceptable).
  • Self-starter/ability to work independently with minimal supervision, as well as collaboratively with a team.
  • Strong organizational and project management skills, high attention to detail, and demonstrated ability to anticipate needs and efficiently multi-task.
  • Excellent verbal and written communication skills, including the ability to maintain a courteous and professional demeanor with a diverse range of clients, co-workers, volunteers, and other stakeholders.
  • Excellent computer skills, including proficiency with Office 365, demonstrable skills and a capacity quickly to develop proficiency with a wide range of technologies (e.g., case management, customer relationship management).
  • Demonstrated commitment to nonprofit/public interest legal work, serving communities that are under resourced, and advancing racial equity and social and economic justice.
  • Excellent time management and ability to handle a rigorous schedule; note that availability outside standard work hours may occasionally be required.

The City Bar Justice Center has a hybrid work environment. Candidates for this position must be available for an 8:30 - 4:30 daily hybrid schedule requiring 3-4 days of scheduled in-person work at our Midtown Manhattan office, with the balance of time being work-from-home. Availability outside standard work hours may occasionally be required. We are looking for a candidate available to start in October.

Candidates must be authorized to work in the United States. We are not able to sponsor visas for this role.

The annualized salary range for this position is $48,000-$52,000 for a 35-hour workweek, based on skills and experience.
