The Administrative Assistant at the Grandview Early Learning Center assists the Administrative Team with complex and confidential administrative work.   • Picks up and delivers mail and other office information at the Administration Building.
  • Sets up and maintains accurate attendance files using computerized software and runs all necessary reports for CCDF child count requirements.
  • Assists in the delivery of classroom/office supplies received through the purchase order system.
  • Prepares all purchase orders for office supplies and keeps cabinet stocked.
  • Copies all application packets: Grandview, Subsidized and PTP and has them available for public in lobby.
  • Assists in maintaining office records, employee and children's files.
  • Provides back-up to Administrative Team as needed.
  • Required to work schedule assigned by supervisor (opening, closing, split shift etc.) as needed.
  • Performs other duties as assigned.

Qualifications

Required

  • Associates Degree or two years of previous administrative support is required; or a satisfactory equivalent combination of education and experience.
  • Intermediate skills in Microsoft Word, Access and Excel required.
  • Must be able to type 35 words per minute accurately.
  • Must have intermediate computer knowledge and able to set up and implement new attendance software program.
  • Ability to interact tactfully and positively with parents/guardians, Tribal members, all levels of staff and management.
  • Ability to maintain a high level of confidentiality.
  • Must have and maintain a valid driver's license and proof of automobile insurance.
  • Must be able to pass a background check prior to and periodically throughout employment.
  • Must maintain strict confidentiality at all times.
  • Must pass TB Testing and have and maintain CPR/1st Aid Certification.

Preferred

  • Knowledge of administrative procedures.
  • Knowledge of accounting procedures.
  • Knowledge of CCDF program requirements and GELC policies and procedures.
  • Intermediate skills in Microsoft Office.

Position Summary:

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
