Full Job Description

Vistra seeks an experienced Event Coordinator to provide event management support to the Department of Defense's (DOD) Office of the Undersecretary of Defense for Personnel and Readiness (OUSD P&R) and the Defense Suicide Prevention Office (DSPO). The ideal candidate will have a strong background in event management and coordination. This role requires the ability to engage in promoting or creating and intended public image for individuals, groups, or organizations.

Key Responsibilities:
  • Provide planning, administrative, and logistical support for up to 12 internal and external DoD suicide prevention events/engagements (e.g., roundtables, conferences, symposiums) per year, including but not limited to, the Department of Veterans Affairs, other federal agencies, academia, and other non-governmental and nonprofit organizations, intended to support Service members, their families, and DoD civilians.
  • Research event purposes and venue locations; manage and coordinate invitations and RSVP; coordinate registration activities, including payment of applicable registration fees; and coordinate parking and escorting visitors.
  • Draft, print, and distribute event communications, DSPO-themed products, agendas, slide presentations, read-ahead materials, place cards, leadership binders, talking points, and speech materials to attendees and speakers, as applicable, per direction from DSPO.
  • Draft and support event invitation activities, to include DoD approvals via required staffing/coordination packages.
  • Coordinate transport of materials to and from events
  • Provide onsite event support (e.g., escorting, setup and breakdown of event materials, distributing event materials) and staff to continuously man DSPO-sponsored tables.
