Qualifications

Required

  • Minimum two years' experience managing medical office with at least three providers, preferably in primary care.
  • At least five years of medical office experience.
  • At least two years' experience in billing.
  • Knowledge of health care industry and medical terminology and practices.
  • Computer literate with knowledge and skill in the operation of computer systems and applications.
  • Ability to communicate clearly and interact effectively with patients, medical staff, and administrative personnel.
  • Excellent patient service skills.
  • Able to relate to the LGBTQ+ community.
  • Able to maintain PCMH accreditation for the practice.
  • Able to implement COVID, Influenza, RSV prevention protocols.
  • COVID-19 vaccinated recommended but not required.
  • Able to help develop new patient services like aesthetics and well-being programs.

JOB SUMMARY:


The Office Manager is responsible for organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency. This includes maintaining office services and efficiency, supervising office staff and maintaining office records.


JOB DUTIES:


Answers questions and recommends corrective services to address patients concerns.

Ensures a positive patient experience and optimal operational results by effectively managing core clinical practice management areas including patient scheduling, patient records management, service delivery management, staff management and facilities management

Implements operational, productivity, quality, and patient-service standards.

Apply for and maintain all necessary licenses, permits and insurances. (Worker’s Comp, liability, etc.)

Initiate all insurance credentialing and re-credential as necessary by providing all necessary information to insurance companies to maintain credentialing.

Manage and resolve all physicians' issues/concerns together with the medical director.

Implements all PCMH policies and procedures for the office.

Monitors and assures compliance with statutory and regulatory requirements (e.g. Medicare, HIPAA, OSHA and other related)

Identifies, manages and resolves day-to-day operational issues and problems.

Manages all procedure and record retentions for files.

Manages information systems; coordinates, records and takes action on information flows to and from the clinical office in the relevant and requisite format and manner.

Generates required reports from in-house information system for management reporting.

Maintains supplies inventory for doctor's office and laboratory to provide to Office Administrator for approval.

Manages consultation/patient referrals and authorizations.

Manages staff performance and implements policies and procedures in conjunction with the medical director.

Manage the selection, training, assigning, scheduling, and coaching new hires in conjunction with medical director.

Communicates routinely with the billing department to ensure accurate and timely office billing.

Performs other specific job activities as needed or as directed by the medical director.



JOB REQUIREMENTS:


EDUCATION AND/OR EXPERIENCE:

Minimum two (2) years' experience managing medical office with at least a minimum 3 providers preferably in primary care with Medicare Advantage, ACO and CIN with value-based practices experience.

Must have at least five (5) years of medical office experience.

Must have at least two (2) years' experience in billing.


REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge of health care industry and medical terminology and practices.

Computer literate; knowledge and skill in the operation of computer systems and applications (medical software such as EClinicalWorks, productivity software including MS Office, MS Teams and others)

Ability to communicate clearly and interact with patients, medical staff and administrative personnel effectively.

Excellent patient service skills.

Able to relate to the LGBTQ+ community.

Able to continue and maintain PCMH accreditation for the practice thru office policies creation, training, implementation and reevaluation together with the other members of the Leadership Team.

Able to implement COVID, Influenza, RSV prevention protocols including vaccination.

COVID-19 vaccinated recommended but not required.

Able to help develop new patient services in addition to medical services like aesthetics and well-being programs.


WORK ENVIRONMENT:

All work is performed within a standard health care/primary care clinical setting.
