Role Overview: We are looking for a talented individual to be our Client Success Team Manager. In this role you will own the flow of new clients through our structured onboarding process. You will be managing and leading a series of working group meetings that we use to bring each client aboard and move them to precision construction accounting. These meetings will include the client, their key personnel, and the other Apparatus personnel assigned to the actual precision accounting work we’ll be doing for the client. The way we look at it, bringing aboard a new client is an exercise very much like fixing a complex airplane in flight. You’ll be the leader and head strategist of this process from our client’s first day until they are completely stabilized, at which point the onboarding process is complete and the Apparatus team assigned to the client takes over the relationship fully. You’ll navigate every client through the most complicated part of their new relationship with Apparatus.

You’ll be supported by an Apparatus-paid Virtual Assistant who will report to you and who will handle the administrative details of meeting coordination across all participants.

This is a client-facing, “front stage”, full time, work from home assignment.

Key Responsibilities:

· You’ll manage the intake and setup of new clients, ensuring a smooth and professional onboarding experience.

  • You’ll coordinate and set up the Zoom®-based “Stages” meetings that are the core of our nine-stage onboarding process, manage schedules, lead the Stages meetings, and maintain client records with utmost accuracy using cloud-based tools. You’ll be supported by an Apparatus-paid Virtual Assistant who will report to you and who will handle the administrative details of meeting coordination across all participants.
  • You’ll design and follow structured processes to ensure that every client transitions smoothly from the often chaotic starting point of their current bookkeeping processes to a highly stabilized series of repeating workflows.
  • You’ll be the key team member responsible for helping define the strategy and specifications of the cleanup and redesign of client books. This step, which occurs in Stage 3 of our nine stage onboarding process, always involves the development of a detailed consensus triage document, identifying the errors, workflows, and client behaviors that have to change. It often extends to helping clients define a better business structure involving new or additional entities, and then helping define the strategy for “splitting” a set of books that may have been used to run multiple companies. You’ll see it all.
  • You’ll communicate with clients and internal teams using digital platforms to facilitate the flow of information and resolve any issues promptly.

Qualifications:

  • A four-year degree in Accounting. CPA certification is highly desirable.
  • Quickbooks® Pro Certification.
  • Proven experience in accounting project management.
  • Exceptional organizational and administrative skills.
  • Strong interpersonal and communication skills, with a knack for team-based problem-solving.
  • Ability to manage multiple client relationships simultaneously, adapting quickly to new challenges.
  • Experience working in a remote work environment.
