The Front Desk Associate at HEAD & NECK SURGICAL ASSOCIATE is responsible for a variety of administrative and general office duties, including patient check-in, answering telephone calls, scheduling appointments, and maintaining office organization. Responsibilities

  • Check-in patients per protocol; Welcomes patients, determines the purpose of visit and completes Epic workflow.
  • Promptly and professionally answers telephone calls. Routes calls appropriately, offering voice mail, paging, or redirection of calls as needed.
  • Facilitates patient flow and communicates delays with patients and clinical staff.
  • Explains financial requirements to the patients or responsible parties and collects copays as required.
  • Responsible for keeping the reception and patient waiting areas clean, and office files and equipment organized.
  • Gathering patient demographic information and scheduling appointments.
  • Prepares patient accounts for next day appointments.
  • Each evening and morning, checks office voicemails and faxes that were received during the day or overnight. Route messages as appropriate.
  • Run outgoing mail thru postage machine by 10am daily and sort incoming mail.
  • Reconcile money at the end of each day that was collected by the front desk.

Qualifications

Required

  • High school diploma
  • Minimum two years working in a medical office and/or receptionist position
  • Knowledge of electronic health records and word processing software
  • Familiarity with scheduling and rearranging appointments
  • Understanding of health insurance plans
  • Strong written and verbal communication skills

DAYS: Monday – Friday

HOURS: 8am – 5pm

JOB SUMMARY: This position is responsible for day-to-day administrative and general office duties including distributing mail, faxes and scheduling patient appointments. Receives incoming telephone calls in a prompt, courteous, and professional manner and greets/assists patients in the same manner.

PERFORMANCE EXPECTATIONS:

  • Maintains patient confidentiality by complying with HIPAA guidelines.
  • Attends all regular staff meetings.
  • Ability to use multi-line phone system and capable of eliciting accurate information to route calls to the appropriate person.
  • Exercise a high degree of diplomacy and tact while multi-tasking, organizing and scheduling patients.
  • Ability to prevent, calm, and/or defuse irate callers and patients by working with them to identify concerns.

EDUCATIONAL REQUIREMENTS:

  • High school diploma required
  • College courses/degree a plus

  • Minimum two years working in a medical office and/or receptionist position.

  • Familiarity with scheduling and rearranging appointments.

PHYSICAL REQUIREMENTS:

Work may require sitting for long periods of time, and also stooping, bending and stretching. Position requires manual dexterity sufficient to operate a keyboard, computer, telephone, calculator, copier, and other office equipment as necessary. Employee must have normal range of hearing and eyesight. Position also requires viewing computer screens and typing for long periods of time and working in a fast-paced environment.

WORK ENVIRONMENT:

Work is performed in a reception area and involves frequent contact with patients. Interaction with others is constant and interruptive. Contact may involve dealing with sick patients.
