Position Description

Overall Responsibilities:

Collects and disseminate information to and from the shifts, dispatches maintenance team members, and maintains parts and supplies inventory. Manages maintenance software systems for tracking supplies, managing work orders, tracking PM’s, tracking equipment down time, ordering supplies, etc. Specific responsibilities include, but are not limited to, the following:

Essential Job Functions:

• Meets with shift team members on maintenance and repair status
• Monitor radio and dispatch Technicians and Maintenance Support as needed
• Enter breakdown calls in downtime tracking system
• Data entry of PM sheets, work orders, and break down into CMMS
• Generate PMs and distribute weekly
• Assist team members with supply room needs
• Perform data entry of all purchase orders
• Invoice records approved and confirmed
• Order parts from vendors/suppliers
• Contact vendors/suppliers on parts that are past due
• Work directly with the Maintenance Supervisor/Manager on budget control and communicate any items that will affect the budget on a large scale.
• Record parts and tools issued by third party vendors
• Organize, identify and label parts in inventory and tools
• Data entry of incoming and outgoing inventory to maintain accuracy of parts inventory and use
• Perform inventory audits and physical counts
• Tag and package to be sent out for repair, complete all paperwork, and stage in proper area for shipment (UPS, LTL, Truck)
• Answer phone calls and convey information to appropriate team members during and after normal business hours
• Keep work area clean and orderly

Position Requirements

Qualifications:

• Ability to add, subtract, multiply, and divide in all units of measurement, using whole numbers, common fractions, and decimals
• Microsoft Office skills
• Eager and willing to gain knowledge of door products and processes
• Able to work independently
• Knowledge of administrative and clerical procedures and systems, such as word processing, managing files and records, and other office procedures and terminology
• Knowledge of principles and processes for providing customer service
• Excellent verbal and written communication skills
• Time management skills to meet or exceed department productivity goals
• Multi-tasker with strong organizational and word processing skills
• Attention to detail
• Reliable
• Ability to work in a fast-paced environment

Physical Requirements

Tolerance for sitting long periods of time. Possess finger dexterity to write, type, and use a calculator. Maintain adequate vision to view small print and computer terminal. Ability to speak and hear, walk throughout facilities with occasional light lifting (25 pounds), stooping, kneeling, crouching, and reaching with hands and arms required.
