Administrative Services Coordinator
$26-27/hr. (contract to hire)
Essential Duties and Responsibilities:
· Provide administrative support services for Director, Travel & Events including but not limited to:
- Coordinate internal meetings including room space, set-up, food and beverage services, and overall on-site set-up and support during meetings.
- Provide catering services as directed. Provide services for catering supply orders as directed.
- Provide miscellaneous sourcing for meeting and catering supplies and equipment as needed.
- Provide travel services as directed.
· Provide administrative and support services to the Management Services Specialist and complete all tasks assigned.
· Provide administrative and support services to the Office Services Division including but not limited to:
- Initiate and process Purchase Orders as needed.
- Coordinate equipment maintenance and repair for kitchen and catering, and the print shop and mail room equipment.
- Provide backup services in the print shop and mail room including incoming mail distribution, the preparation of outgoing mail, and copy and printing services, when needed.
· Perform FOB activations, deactivations, and report generation as necessary.
· Initiate and maintain requests for building services and supplies.
· Maintain duplicate keys for all doors and furniture.
· Provide back-up services for reception functions as needed.
· File, photocopy and fax as needed.
· Maintain a high level of service to clients, members and internal staff.
· Additional duties and responsibilities as required.
Requirements:
- A minimum of 3 years’ experience in office administration.
- Working on-site 5 days a week in a professional office setting.
- Demonstrated maturity, diplomacy and excellent people skills. Ability to maintain confidentiality.
- Demonstrated proficiency in software applications including but not limited to Microsoft Office365 and Adobe.
- Demonstrated technical ability to learn new software programs as needed.
- Strong verbal and written communication skills.
- Strong organizational skills with an excellent attention to detail.
- Professional and service-oriented demeanor with the ability to interact and work with a variety of personalities.
- Ability to multi-task and handle multiple projects simultaneously.
