Description
We are looking for an Administrative Assistant to join our client in Warwick, Rhode Island. This role is ideal for an organized and detail-oriented individual who thrives in a fast-paced office environment. As part of the team, you will play a key role in supporting various administrative and accounting functions to ensure the office runs smoothly.
Responsibilities:
- Answer and direct incoming phone calls with efficiency and courtesy.
- Prepare and draft correspondence, including engagement and representation letters, and other necessary documents.
- Type financial and performance statements based on reports provided by accountants, ensuring accuracy in data entry.
- Assist with tax return processing by scanning, uploading, and assembling client packages.
- Manage office supplies, including monitoring inventory and placing orders for janitorial, coffee, and breakroom items.
- Track and oversee the status of electronically filed tax returns.
- Organize and maintain filing systems, ensuring documents are properly stored and accessible.
- Utilize software such as Capital Confirmation, Lacerte, and Adams Tax forms to complete various tasks.
Requirements - Strong attention to detail and accuracy in written and oral communication.
- Proficient in accounts payable and accounts receivable processes.
- Experience with QuickBooks for managing financial tasks.
- Skilled in data entry with a focus on precision and timeliness.
- Ability to process invoices and manage related documentation.
- Effective calendar management skills to coordinate schedules and appointments.
- Appearance and demeanor that reflect a high level of attention to detail, suitable for client-facing interactions.
