Position Summary:
We are seeking a reliable and detail-oriented Administrative Assistant to support our team in a client-facing role. This position requires strong organizational skills, excellent communication, and a proactive mindset. The ideal candidate is comfortable interacting with clients, managing daily administrative tasks, and supporting office operations in a professional environment.
This role will begin as a part-time position from 8:30 AM to 12:30 PM, with the opportunity to transition into a full-time role based on performance and business needs.
Key Responsibilities:
Greet and assist clients in a professional and friendly manner, both in-person and over the phone
Manage incoming and outgoing calls with strong phone etiquette
Schedule appointments, meetings, and maintain calendars
Perform general administrative tasks including filing, scanning, and data entry
Create and maintain Excel spreadsheets for tracking and reporting
Prepare mailouts, including addressing labels and organizing distributions
Draft and proofread written communications; respond to emails professionally and promptly
Utilize Microsoft Office 365 (Outlook, Word, Excel, etc.) for daily operations
Assist with special projects and office coordination as needed
Qualifications:
Proven experience in an administrative or client service role
Excellent written and verbal communication skills
Strong attention to detail and ability to manage multiple priorities
Proficient in Microsoft Office 365, especially Excel
Comfortable in a fast-paced, team-oriented environment
Reliable, punctual, and professional demeanor
Preferred Skills:
Experience with office mailouts, label creation, and document formatting
Familiarity with appointment scheduling software or calendar tools
Ability to anticipate needs and solve problems independently
