Description We are looking for a highly organized and detail-oriented Executive Administrative Assistant to provide comprehensive support to our Executive Team and physicians. This role requires exceptional communication skills, the ability to manage multiple priorities, and a proactive approach to problem-solving. Based in Norfolk, Virginia, this position offers an opportunity to work closely with key stakeholders and contribute to the smooth operation of our organization.

Responsibilities:

- Provide high-level administrative support to the Executive Team, ensuring their time and priorities are protected.

- Organize and maintain calendars for physicians, including scheduling appointments and managing daily, weekly, and monthly plans.

- Arrange travel accommodations and itineraries for physicians, ensuring seamless coordination.

- Coordinate and prioritize meetings, prepare agendas, and take detailed meeting notes to capture key decisions and actions.

- Handle correspondence by reading, researching, and directing communications appropriately.

- Safeguard confidential information while interacting with physicians, technicians, co-workers, and patients.

- Build and maintain strong relationships with stakeholders to ensure effective collaboration.

- Assist with specific projects, ensuring they are completed within budget, timelines, and quality standards.

- Serve as a liaison between physicians and external entities, facilitating smooth communication.

- Perform general documentation and record-keeping tasks to maintain organized and accurate records. Requirements - Proven experience in administrative support or executive assistance, preferably in a healthcare or corporate setting.

- Strong skills in calendar management, scheduling, and travel arrangements.

- Excellent verbal and written communication abilities.

- Ability to handle sensitive and confidential information with discretion.

- Exceptional organizational skills with a keen attention to detail.

- Proficiency in planning and coordinating meetings, including taking meeting minutes.

- Capability to work independently with minimal supervision.

- Adept at building relationships and collaborating with diverse stakeholders.
