Position Summary
We are looking for a highly organized, proactive, and detail-oriented executive assistant to help us support our daily operations. The executive assistant is the backbone of our office operations, responsible for managing critical back-office tasks including managing administrative tasks, scheduling internal meetings, managing physician calendars, maintain relationships with our product and building vendors, and complete ad hoc projects. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities with a high level of professionalism and confidentiality.
Responsibilities:
· Manage and complete administrative projects from start to finish, including planning, coordination, execution, and timely follow-up to ensure successful outcomes
· Provide high-level administrative support, including complex scheduling, calendar management for providers, and creating agendas
· Act as the primary point of contact for building-related issues (HVAC, plumbing, cleaning, repairs)
· Manage office operations and ensure the workspace remains efficient, professional, and well-stocked
· Partner with suppliers and service providers to negotiate pricing and terms that support cost-efficient purchasing
· Maintain confidentiality and discretion in handling sensitive information
· Anticipate executive needs and proactively bring together appropriate resources
