Office Assistant
We are a general contracting firm undergoing systemization and growth, and we are seeking a proactive, highly organized Office Assistant to join our team. This role will support daily office operations, assist with administrative tasks, and contribute to our marketing efforts.
Responsibilities:
Manage clerical and administrative tasks, including drafting emails, reports, and formal documents.
Schedule and coordinate appointments, meetings, and company events.
Greet and assist visitors, clients, and vendors in a professional manner.
Answer and direct inbound telephone calls, ensuring timely responses.
Organize and maintain both physical and digital filing systems for improved efficiency.
Assist in tracking invoices, payments, and project documentation.
Help implement and improve office workflows to support business efficiency.
Support basic bookkeeping and data entry tasks.
Assist with marketing tasks, including social media updates, content creation, and client communications.
Coordinate with marketing teams or vendors for digital marketing initiatives and branding efforts.
Perform additional office duties as needed to support the team and company objectives.
Qualifications:
Bilingual in Spanish and English (highly preferred) - must be able to communicate effectively with Spanish-speaking, vendors and subcontractors.
Previous experience in office administration, construction administration, or a related field.
Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
Strong organizational skills with a keen eye for efficiency and process improvement.
Excellent written and verbal communication skills with a professional demeanor.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and office management software.
Experience with marketing tasks such as social media management, content creation, or client engagement is a plus.
Familiarity with general contracting, construction, or project management is beneficial but not required.
Quickbooks knowledge or willingness to learn is preferred.
