Description:
The Executive Assistant & Office Admin will provide high-level administrative support to the CMO and assist in the overall operations of the manufacturing department. This role is crucial in ensuring efficient communication, project management, and organizational effectiveness within the CDMO.
- Manage and maintain the CMO's calendar, scheduling meetings, appointments, and travel arrangements.
- Prepare and organize documents, presentations, and reports for meetings.
- Handle correspondence, including emails and phone calls, ensuring timely responses.
- Assist in the planning and execution of various projects, ensuring deadlines are met.
- Track project milestones and prepare status updates for the CMO.
- Coordinate cross-departmental communication to facilitate project progress.
- Oversee daily office operations, ensuring a smooth workflow.
- Manage office supplies, inventory and procurement.
- Implement and maintain office policies and procedures.
- Organize and maintain confidential files and records.
- Generate reports and analyze data as required by the CMO.
- Support the development of operational metrics and KPIs.
- Organize and coordinate departmental meetings, including agenda preparation and minute taking.
- Ensure follow-up on action items from meetings.
- Serve as the point of contact between the CMO and other executives, staff, and external partners
- Foster positive relationships within the organization to enhance collaboration.
Requirements:
- Bachelor’s degree in Business Administration, Management, or a related field preferred.
- 5+ years of experience as an executive assistant or in a similar administrative role, preferably in a manufacturing or CDMO environment.
- Proven experience in project management and office administration.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication abilities.
- Ability to prioritize tasks and manage time effectively.
- Discretion and confidentiality when handling sensitive information
- Proactive and adaptable, with a problem-solving mindset.
- Strong interpersonal skills and the ability to work collaboratively in supporting site objectives.
- Familiarity with manufacturing processes and regulatory requirements is a plus.
