We are seeking a highly organized and communicative Receptionist / Operations Support professional to join our team. In this role, you’ll be the front-line point of contact while also supporting our operations and sales teams in ensuring seamless communication, reporting, and shipping logistics.
Key Responsibilities:
- Serve as the first point of contact for internal and external communications, including email correspondence with vendors and customers.
- Generate and update expediting reports for projects, ensuring timely submission to customers.
- Support the sales team with day-to-day operations to help meet team objectives.
- Coordinate closely with vendors, warehouse staff, material handlers, and logistics teams to track and confirm shipments.
- Monitor shipping statuses via vessel trackers, email, and carrier contact; communicate updates with customers and internal teams.
- Track supplier shipments to ensure on-time delivery and flag critical or delayed shipments.
- Handle discrepancy reports and invoice issues in coordination with accounting.
- Create and manage change orders to prevent delays in shipment or payments.
- Maintain and update customer websites with accurate order and delivery statuses.
- Retrieve and organize packing lists, material test reports (MTRs), and quality assurance documentation for direct shipments.
- Assist with proofreading orders, spreadsheets, and general office tasks as needed.
Qualifications:
- Strong communication skills and a proactive approach to customer and vendor relations.
- Highly organized and detail-oriented with the ability to multitask in a fast-paced environment.
- Previous experience in a receptionist, operations, logistics, or sales support role preferred.
- Proficient with Microsoft Office Suite and comfortable using online shipment tracking and vendor portals.
- A team player with a positive attitude and willingness to support various departments as needed.
