We are looking for a detail-oriented Receptionist to join our team in Houston, Texas. As the first point of contact for visitors and callers, you will play a vital role in ensuring smooth communication and operations within the organization. This is a Contract position within the non-profit sector, requiring strong organizational and interpersonal skills.
Responsibilities:
• Manage a multi-line phone system, ensuring all calls are answered promptly and routed to the appropriate departments.
• Greet visitors and provide a welcoming experience while addressing inquiries professionally.
• Handle email correspondence efficiently, responding to messages and forwarding information as needed.
• Maintain accurate records through data entry and ensure files are organized and easily accessible.
• Schedule and coordinate appointments, meetings, and other events as required.
• Provide exceptional customer service to internal staff and external stakeholders.
• Utilize Microsoft Word, Excel, and Outlook to create documents, manage spreadsheets, and coordinate communications.
• Support the team by performing general administrative tasks and assisting with special projects.• Proficiency in managing multi-line phone systems and handling high call volumes.
• Strong customer service skills with a friendly and detail-oriented approach.
• Experience in data entry and maintaining organized filing systems.
• Ability to communicate effectively via email and other written formats.
• Excellent interpersonal skills to interact with diverse groups of people.
• Competency in Microsoft Excel, Outlook, and Word for administrative tasks.
• Proven ability to schedule and manage appointments efficiently.
