The Guest Services Specialist serves as the first point of contact for visitors and callers. The will provide general office support with a variety of clerical activities and receptionist-related tasks.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Answers telephones and directs the caller to the appropriate associate.
- Greets and directs visitors to the company.
- Takes and retrieves messages for various personnel.
- Receives, sorts and distributes incoming mail.
- Coordinates the pickup and delivery of express mail services (Fed Ex, UPS etc)Opens builder contracts in real estate closing software.
- Monitors general office e-mail and forwards email to appropriate individual.
- Assists with other related clerical duties such as photocopying, scanning and filing.
- Maintain closing calendar board and keep it updated.
- Send title docs out to lender/realtors.
- Log in key packages and distribute to appropriate files.
- Greet all incoming guests and obtain driver' s license/passport copies.
- Clean and maintain cleanliness of all conference rooms and office space.
EXPERIENCE, SKILLS, KNOWLEDGE:
- High school diploma or equivalent
- Excellent communication and interpersonal skills
- Strong organizational skills and attention to detail
- Ability to multitask and prioritize tasks effectively.
- Knowledge of Microsoft Office Suite
- Bilingual candidate would be a plus.
- Professional appearance and demeanor.
PHYSICAL DEMANDS:
