A private equity firm is seeking an Executive Assistant for a team of 4-5 executives, offering a role that involves heavy calendar management, complex travel arrangements, and supporting the team with expenses and special projects. Responsibilities

  • Heavy, complex calendar management, scheduling meetings, screening calls, really acting as a true gatekeeper prioritizing the teams time
  • Complex, multi-leg travel arrangements
  • Expenses
  • Undertaking the tasks of receiving calls, taking messages and routing critical correspondence, as well as providing call screening
  • Liaising with executive and administrative assistants to schedule meetings including anticipating all requirements (presentation technology, communications devices, food and refreshments, etc.) to ensure professional operations
  • Assisting with preparation of expense reports
  • Sorting and distributing communications in a timely manner
  • Handling special projects as needed
  • Assisting in conference planning

Qualifications

Required

  • 5-7+ years of EA experience
  • Finance experience ideal, open to professional services backgrounds
  • Highly responsible and reliable with a professional presentation
  • Motivated self-starter, with the ability to work diligently and continuously refine various work activities
  • Initiative oriented and ownership mentality for areas of responsibility
  • Attention to detail and problem solving skills
  • Excellent time management skills and the ability to prioritize work
  • Excellent communication (oral and written) and people skills
  • Strong organizational, multitasking abilities and problem-solving skills
  • Working knowledge of office equipment (printer, copiers, audio visual systems)

A wonderful, employee-centric private equity firm is looking for a stellar Executive Assistant for a wonderful team of 4-5 executives (great, down-to-earth team)

Office is in Midtown East – typical office hours are 830/9am-530/6pm. Full time in office Monday-Friday

5-7+ (minimum) years of EA experience, FINANCE EXPERIENCE IDEAL, but open to professional services backgrounds
